Sending a Proposal to a Client: A Step-by-Step Guide

💡 Purpose:

This guide provides detailed instructions on how to send a proposal to a client, including the necessary steps in the Dashboard and how to prepare the proposal for emailing.

✔️ Procedure:

  1. Create the Proposal\ Begin by ensuring that the live storage file is completed with all relevant details, including discounts.

  2. Save the Proposal as a PDF\ Click on "Print Order" and select "Save". Store it in the same folder as the live storage file.\ Name the PDF using the client's last name, the town they live in, followed by the word "proposal".

  3. Copy the Total Before Discount\ Highlight the total before the discount, and copy that number for later use.

  4. Access the Dashboard\ Find the client profile in the Dashboard by using the search function.

  5. Create a New Proposal\ Navigate to the invoice tab and click the green button labeled "New Proposal".

  6. Set the Proposal as Primary\ Set a name for the proposal, for example “Job 1 Proposal” IMPORTANT: Ensure to check the box labeled "Primary" before saving the proposal.

  7. Add New Item\ Click the green button for adding a new item. Choose the appropriate category (home or garage) based on the proposal details. Home is the default.
    Then choose the Item, for Home there is only one item, which is Closets.

  8. Enter Cost\ Paste the copied number into the cost field and hit "Save".

  9. Apply Discount\ Click on the discount field to enter the applied discount. Use the green plus sign to add a discount as a percentage or dollar amount.

  1. Check Discount Sign\ Click anywhere in the white area to ensure that the discount appears as a negative number.

  2. Finalize the Proposal\ Save the proposal after confirming the discount is correct.

  3. Email the Proposal\ Go back to the live storage and copy the client's email address. Then, open a new email and paste the address.

  4. Use Email Template\ Select your template for sending proposals, personalize it if necessary, and attach the PDF you created.

  5. Send the Proposal\ Review the email to ensure all information is correct, then send it to the client.
